Call for Submissions

Join us for 152nd convention, featuring both in-person events (including a focused technical program) in The Hague on May 7-8 and a robust online technical program May 16-19.

Workshops and Tutorials submitters may request to present at the in-person and/or online technical programs. Those chosen to present will be awarded time for either in-person OR online. Due to limited hours available, some submissions for the in-person technical program may be scheduled for the online program only. Paper and E-brief lecture presentations will be part of the online technical program only, but we will have poster presentations available during the in-person event.

Call for Technical Sessions (Workshops and Tutorials)

Those wishing to submit proposals for technical sessions must complete the submission form in the AES 152nd submission system for Workshops & Tutorials. These will be considered by the convention committee for suitability and may be chosen for one of the convention tracks, or as a standalone event. The deadline is February 15, 2022, but this may be adjusted by the convention committee. For questions about this category of submission, contact the convention chairs at 152nd_chairs@aes.org.

Topics

Proposals describing work in any area of audio engineering and its related arts and sciences will be considered for inclusion in convention sessions. A detailed list of proposed topics is given below. Please also take the time to review the AES Convention and Conference Author Guidelines before submitting.

Categories

Authors may submit proposals in three categories:

  1. Complete-manuscript peer-reviewed convention papers
  2. Abstract-precis-reviewed convention papers
  3. Abstract-precis-reviewed engineering briefs (paper optional)
Submitting a Proposal

Category 1 and 2 proposals are to be submitted electronically to the AES 152nd submission system for papers by February 15, 2022.

For the complete-manuscript peer-reviewed convention papers (Category 1), authors are asked to submit papers of 4–10 pages to the submission site. These complete-manuscript papers will be reviewed by at least two experts in the field, and authors will be notified of acceptance by March 15, 2022. Final manuscript with revisions requested by the reviewers have to be submitted before April 15, 2022. If rejected as a convention paper (Category 1), the proposal may still be accepted for categories 2 or 3.

For abstract-precis-reviewed proposals (Category 2), a title, 60-to 120-word abstract, and 500- to 750-word précis of the proposed paper must be submitted by February 15, 2022. Authors will be notified of acceptance by March 15, 2022, and the authors must submit their final manuscripts (4 to 10 pages) before April 15, 2022. If rejected from this category, the proposal may be still be accepted as an engineering brief (Category 3).

Papers exceeding 10 pages run the risk of rejection without review. If such a paper is accepted the author will be charged a fee of $25 for every page over 10.

For engineering briefs (Category 3), authors must supply an abstract and précis to the AES 152nd submission system for engineering briefs by February 15, 2022 to indicate their desire to present an engineering brief. This should cover the background of your topic and the specific work you will be presenting. Submissions will be reviewed based on interest to the AES community, and to ensure that any presentations will not be of a commercial nature. Topics for the engineering briefs can be very wide-ranging. PDF manuscripts of 1–5 pages are optional, to be included in the E-Library, and must be submitted by April 15, 2022. Abstract-only presentations will not be included in the E-Library. Engineering briefs exceeding 5 pages run the risk of rejection without review. If such a paper is accepted the author will be charged a fee of $25 for every page over 5.

Word template

**IMPORTANT NOTE** There have been some issues reported with the Latex templates. In your Overleaf project, if you delete the file latexrelease.sty so that the compiler can use the updated version that has been installed in the system itself, the project should compile without errors.

Registration

Papers may be submitted by a single author or a group of authors. For each paper, a single “presenting author” is designated on the paper submission website – usually the person who will present the paper at the Convention. The presenting authors for each paper in categories 1 through 3 will be required to pay a Presenting Author Fee at the following applicable rate:

  • AES members (Life member* / Fellow / Member / Associate categories): TBD
  • AES student members: TBD
  • Non AES members: TBD

These amounts are required payment for all presenting authors in categories 1 through 3. No additional registration fee will be required; all Presenting Authors will receive a free registration on payment of their Presenting Author Fee.

A presenting author invoice and further details will be sent with the paper acceptance notice.

Authors presenting more than one paper in categories 1 through 3 are only required to pay one Presenting Author Fee.

Co-authors of a paper are welcome, and encouraged, to attend but will require a registration to access the sessions.

*Note: While Life Members have the privilege of no-cost All Access registration, Life Members who are Presenting Authors in categories 1 through 3 are required to pay the Presenting Author Fee.

Publication in the E-Library

All convention papers will be available in the AES E-Library no earlier than 10 days before the convention starts. All individual AES members now have free access to the E-Library. For any non-member author paying the non-member price, a year’s membership is included and will give them access to the Convention papers in the E-Library.

 

Awards

Presenting authors who are student members and whose convention papers (Category 1 or 2) are accepted will be eligible for the Student Paper Award at the 152nd; peer-reviewed Category 1 papers are given preference by the award judges.

Presenting authors of accepted Category 1 papers will be eligible for the Best Peer-Reviewed Paper Award.

Lecture

Because the 152nd convention will be held both in-person in The Hague and then online the week after, we will not offer the option of presenting your paper in a poster session. All presentations will be in a lecture format.
